Due to our rapid growth, we are seeking to employ a full-time Sales & Marketing Administration Co-ordinator looking to progress their career within our fast growing IT Company.  The role will be based out of our head office in either Newport or North Sydney. You should be an energetic all rounder with a strong work ethic, assertiveness and a can-do attitude. We are looking to develop the right person to help them achieve their goals within our company. This is a multifaceted role supporting our Sales, and Marketing teams. You should have experience in a similar role juggling several different tasks in a fast paced environment. You’ll be trained on company policies and processes so a willingness to learn is essential.

Under limited supervision, provide advanced, diversified and confidential administrative support to Executive Management personnel. Works with Director of Sales and Marketing and Associate Directors on day to day operations and projects related to Sales and Marketing. Acts as a liaison to Associates and external customers. Schedules and coordinates appointments, meetings and travel arrangements. Prepares and disperse correspondence, meeting minutes and presentation materials. Organises and maintains files. Develops and maintains departmental databases and performs other related duties as assigned.

Strong communication skills necessary (both oral and written). Outgoing personality and ability to work with potential clients on the phone and in person. Marketing and social networking skills are a benefit. Must be organized and must follow through. Minimum of 1 year of Marketing or Administrative experience. Job includes coordination of promotions and campaigns, budgeting skills, sales figure tracking and reporting. Competent in Microsoft Office and preferred knowledge of SalesForce.

This position is responsible for all administrative tasks relating to the support of our Sales Managers and marketing programs.

This is an entry-level position. Associate’s degree in Business Administration or related field, or equivalent combination of education and experience.

Essential Responsibilities:

Provides advanced, diversified and confidential administrative support to Executive Management in the Sales & Marketing Department. Provides support to and receives guidance from at least one member of Executive Management and typically multiple senior management personnel. Schedules and coordinates appointments, meetings and travel arrangements. Screens telephone calls and emails, greets visitors and resolves routine issues.

  • Acts as a liaison with other Associates and external customers in coordinating scheduling issues, compiling or disseminating information, interpreting and explaining correspondence and materials
  • Prepares and may initiate correspondence, memoranda, reports, etc. Prepares and/or distributes meeting agendas and minutes, correspondence and presentation materials
  • Organizes and maintains files and related documentation
  • Develops and maintains departmental databases, as appropriate. Develops and maintains divisional organizational charts
  • Performs other related duties, as assigned

Duties include but are not limited to:

  • Work closely with our Sales Manager and team, PMO and the Service Delivery teams;
  • Contract management and document reviews;
  • Salesforce administration including maintenance of records, process creation and delivery of internal salesforce training;
  • Creation, maintenance and presentation of Sales and Delivery reports;
  • Liaising with Sales team in regards to opportunity/sales forecasting and maintaining accurate sales records using Salesforce;
  • Review quotes, SoWs and Pricing MudMaps for the Sales team, assisting with making required changes and guiding through the internal approval process;
  • Work alongside Administration team to carry out general office administrative tasks;
  • Meeting facilitation and minute taking for internal teams;
  • Liaise with delivery and administration team, project managers in regards to project timelines, resource requirements, training and travel schedules etc;
  • Assist with eTender and quote requests from external vendors – ensure requests are directed to the correct sales person/team;
  • Manage vendor partner programs;
  • Work with Human Resources to assist with resource recruitment campaigns where required;
  • Work closely with Business Analyst and key stake holders to create, improve, document, deliver and maintain internal processes;

Required Skill Set/Experience:

  • Previous experience in a sales and/or delivery support role;
  • General Office Administration;
  • Excellent Word and Excel skills;
  • Excellent written and spoken English;
  • Experience with Salesforce application preferred;
  • Experience with process creation, improvement and documentation would be highly regarded;
  • Previous experience in a sales and/or delivery support role;
  • Previous experience within the IT industry, would be of great benefit but not essential;
  • A strong work ethic with proven initiative, accuracy and excellent time management skills are essential;
  • Must be a team player with the ability to communicate with a broad variety of internal and external contacts
